VistaCare Communications is a leading technology solutions provider for a wide range of businesses and organizations. We are currently seeking a motivated Administrative Assistant to join our national operations in Dieppe, NB for a permanent, full-time position.
Duties and Responsibilities:
- Create and maintain jobs and work orders;
- Maintain office supplies as required;
- Collect and record daily timesheets, reviewing details to ensure that billing information is accurately captured and revising where needed.
- Enter timesheet data into established tracking systems, update daily trackers as required;
- Maintain timesheet and billing filing systems;
- Compare billing system data to invoice data;
- Verify contractor invoices and resolve discrepancies;
- Prepare invoicing within specified time frames;
- Provide reports and updates as per established schedule;
- Provide general administrative support and errands for the Dieppe Office
Knowledge and Skills:
- Exceptional time-management and organizational skills;
- Strong interpersonal skills;
- Excellent customer service skills;
- Ability to coordinate effectively with remote field management and technical staff;
- Self-disciplined, motivated and organized;
- MS Excel Experience and general computer proficiency (MS Office, Adobe PDF, Internet);
- Proven ability to be efficient, resourceful, and disciplined team player;
- Ability to work in a fast-paced environment with tight deadlines and repetitive tasks;
- Engineering and/or telecommunications administration experience is an asset;
- Previous site or field-based administrative experience is an asset.
Experience Required:
- MS Excel experience;
- Timesheet data entry experience;
- Preference will be given to candidates with knowledge and experience in the telecommunications industry.

- The successful candidate will be required to pass a criminal record check
